Who is this for?
Designed for recruiters, HR freelancers, and hiring teams who often receive candidate CVs via personal WhatsApp and struggle to keep files organized or data updated manually.
What problem is this workflow solving?
Most HR teams download each CV from WhatsApp, rename the file, upload it to Google Drive, and manually enter candidate details into Google Sheets. This manual process is time-consuming, error-prone, and makes it difficult to track applicants efficiently.
What this workflow does
- This automation completely streamlines the CV management process:
- Detects incoming WhatsApp messages and identifies file types (PDFs or images).
- Automatically downloads and resizes the files if needed.
- Runs OCR to extract candidate information.
- Creates Drive folders by year and month to store CVs.
- Updates candidate data in a Google Sheet - including job title, applicant details, and Drive links.
How to set up this workflow?
Built on n8n, this workflow integrates WhatsApp API (or Webhook), Google Drive, Google Sheets, and an OCR API (Gemini or similar).
You only need to:
- Connect your WhatsApp, Drive, and Sheets accounts.
- Link your candidate tracking sheet template.
- Activate the workflow and let automation handle new CVs instantly.
How to customize this workflow to your needs
- Adjust folder naming or structure by department or job title.
- Add Slack or Telegram notifications for new applicants.
- Replace Google Sheet by an applicant tracking system (ATS) to match your recruitment pipeline.
- Integrate with your Applicant Tracking System (ATS) to sync candidate status and update the talent pools automatically.
